Find your way around the roster
The Students page: the four numbers at the top, the two charts, and how to search, filter and export the list.
Students is the list of everyone training at your academy, and the way into any one of them. It opens with four numbers, two charts of how the academy is growing, and then the roster itself. Most days you use the search box and nothing else; the rest is here for when you need to answer a question about the whole gym.
Steps
The four numbers
The header counts On the roster, everyone you have a record for, Active, the ones training now, Inactive, which is red because those are the phone calls, and Joined this month.
Inactive is not a badge of failure — it is people who paused, moved away or never came back after a trial. What matters is whether the number is growing.
Inactive is red for the same reason it is red on the Dashboard: it is the one worth acting on. TipThese count your whole roster, not the page you are looking at. Filtering the list below does not change them. The two charts
Active students plots the roster over time; Total check-ins plots attendance. Each has its own period — daily, weekly, monthly or yearly — and can be drawn as a line or as bars. Check-ins also take a date range, so you can compare this January with last.
Read them together. Students climbing while check-ins flatten means people are signing up and not turning up, and that shows in your billing about two months later.
Each chart has its own period and can be drawn as a line or as bars. Find one person
The search box above the list takes any keyword — part of a name, an email, a phone number — and narrows the roster as you type. Clear it to get everyone back.
For a group rather than a person, use the filters beside the search box: belt, status, membership and so on. Filters stack, and each one you pick shows as a chip you can remove on its own. Export and Add student sit above them.
Search finds a person. Filters answer a question about the gym. Sort and read the columns
Each column can be sorted by clicking its heading. The roster carries first and last name, email, phone, belt and stripes, status, membership, when they were created, and their last check-in.
Last check-in is the column worth scanning. Sort by it and the people who have quietly stopped coming rise to the top, weeks before they cancel.
Scroll the table sideways for the columns that do not fit. Open a student
Click a row to open that student's profile — their details, family, membership, belt history, check-ins and waivers. Everything about one person is there rather than here.
The row highlights as you hover it, which is how you know it will open. Page through the rest
Rows per page at the foot of the table switches between 10, 25, 50 and 100, and the page numbers on the right walk the rest of the roster. Export at the top downloads what you are looking at, filters included, so you can work on it in a spreadsheet.
Set rows per page to 100 before exporting if you want the lot in one go.
What happens next
Nothing here changes a student. The roster is for finding and reading; changes happen on the profile you open from it.
Common questions
Two students have the same name. Check the email column. Families often share a surname and sometimes a phone number, but not an email.
Someone is missing. Clear the search box and any filter chips first. If they still are not there, they may be recorded under a parent's family rather than as their own student — open the parent and look at the family.
Can I edit someone from the list? Open their profile. The roster is deliberately read-only so a stray click cannot change a membership.
The numbers at the top do not match the list. That is expected when a filter is on. The header describes the whole roster; the list describes your filter.
