Rank students up from the Belts page

See who is ready for a stripe or a belt, rank them up in one step or on a promotion day, and print certificates afterwards.

Belts is where you keep your academy's ranks in one place. It shows who has put in the time for their next stripe or belt, lets you promote them, and keeps a record of every promotion day with the certificates to print.

Steps

  1. Open Belts and read the top of the page

Click Belts in the left menu. The dark card at the top shows Ready to rank up, Students and Waiting for approval, and the red Run a promotion day button. Under it are five tabs: Ready, Everyone, History, Certificates and Approval center.

Ready shows the students who have reached your rule, with the number in brackets.

  2. Decide who counts as ready

On Ready, Who counts as ready says in one sentence what a student needs before a stripe and before a belt, for example 2 months and 12 classes for a stripe, 6 months and 30 classes for a belt, and 4 stripes before the next belt. Press Change to set your own numbers: Days at rank for a stripe, Classes for a stripe, Days at rank for a belt, Classes for a belt and Stripes before the next belt. Press Save. The numbers are saved for the whole academy.

Below it, Each belt's own rule lets a single belt use its own months and classes instead. It tells you how many belts have one.

Only an owner or admin can change the rules. Everyone else sees them but cannot edit.

TipReady is a guide, not a lock. Rank up works for anyone, ready or not, so a coach can promote a student the rules would not have picked.
  3. Rank a student up

Each student under Ready (and under Everyone) shows how long they have been at their rank and how many classes they have taken since. Press the button on their row. Where the next step is clear it reads Rank up to that stripe or belt, and Other lets you pick something else. Where it is not, it reads Choose belt.

The box that opens says Move the student to. Choose the Belt, the number of Stripes, and the Date of the promotion, then press Record promotion. Cancel closes it without changing anything.

Use the date of the grading, not the date you are typing it in.

  4. Run a promotion day for a group

For a grading, press Run a promotion day. A three-step page opens: Who, Review, Done. Set the Date of the promotion day; certificates carry this date. Everyone who is ready by your rules is already ticked, with the step they take. Untick anyone you are not promoting, or press Show everyone, not only who is ready to add someone else. The page counts students to promote. Press Review to check the list before it is recorded.

Search students finds anyone who is not in the list yet.

  5. Find past promotions and print certificates

History lists every promotion day, newest first, with how many students were promoted. Print certificates opens that day's certificates to print. Spreadsheet downloads the day as a file. Show older promotions loads earlier days.

    One row per promotion day.

  6. Choose how certificates look

Certificates lists your certificate designs. Pick one and use Preview with to see it on a real student. Choose the paper size, such as Letter, Legal or A4, portrait or landscape. A design can be switched on or off for printing, and New certificate starts another.

  7. Ask students for their belt history

Approval center is for students who need to tell you what rank they already hold. Ask students for their history sends them a link to fill it in. The approval email goes to the person named at the top, and Change picks someone else. What students send back is sorted under Waiting, Approved and Sent back, and Asked lists the students who have been sent a link.

Nothing shows under Waiting until a student sends their history.

What happens next

Each promotion goes on the student's record. It shows in the Belts tab on their record, next to their name at the top of the record, and on the check-in screen. The date you choose starts the clock on their days at rank.

Check itOpen History. The day you recorded is at the top with the number of students promoted.

Common questions

Where did Belt Promotion and Reports go in Settings? They moved into Belts. Promotions are on this page, and the printable reports are under History.

Can I promote one student without using Belts? Yes. Open the student, go to their Belts tab and press Promote Student. See Record a belt promotion.

A student I expected is not under Ready. Check Who counts as ready. They may not have reached the days or classes yet. Under Everyone, a row says how many more classes they need, and you can rank them up from there anyway.
