Take a one-off payment

Charge a gi, a seminar or a missed month from the Dashboard, either to a card you already hold or as a fresh charge.

Memberships collect themselves. Everything else — a gi, a rash guard, a seminar seat, a month someone owes — is a one-off, and Charge card on the Dashboard is where you take it. There are two ways to do it, and the difference is only where the card comes from.

Steps

  1. Open the quick action

    On the Dashboard, press Charge card in the bar under the header, the one that reads Run a quick payment. A box opens titled Charge Card.

  2. Decide whose card you are charging

    The two buttons at the top of the box set the rest of it.

    • Card on File is for a member you already hold a card for. Nothing to type but a name.
    • New Card is for anything else — a visitor, a walk-in, a parent paying for a seminar.

    The box opens on New Card. Everything below these two buttons changes when you switch.

  3. Charge a card you already have

    Choose Card on File. Type the member's name in the search box; it starts looking after three letters and shows the responsible party for the family, with their email and phone so you can tell two Reyeses apart. Pick them, and the card you hold for that family loads. Enter what the charge is for and the amount, then charge it.

    The list shows the responsible party, not every member of the family.

    TipSearch for the parent, not the child. Cards sit with the family's responsible party, so a nine-year-old's name may find nothing.
  4. Or take a fresh payment

    Choose New Card. Fill in three things:

    • Title — what the money is for. It is the description on the record, so Gi — blue, A2 beats payment.
    • Payment method — how you are taking it, from the methods your academy has set up.
    • Amount ($0.00) — the figure to charge.

    Press Charge. All three are required; the box tells you in red which one is missing.

    Title is what the money was for. It is the only thing anyone reads when they query the charge three months later.

    Check itA green confirmation appears and the box closes. A red message means nothing was taken and you can try again.

What happens next

The payment goes through straight away — there is no draft or pending basket to come back to. It joins your other payments under Analytics › Transactions, and the Dashboard's Revenue this month tile picks it up.

For refunds, receipts and the full payment record, use Billing in the left menu. That opens your payment gateway in a new tab, which is the system that actually holds the money.

Common questions

Can I refund a charge here? No. This box only takes payments. Refunds live in the Billing portal.

Can I charge a family for two children at once? Charge it once, for the total, and say so in the title. One charge with a clear description is easier to explain later than two.

The member is not in the search. The search looks at the family's responsible party. If they are new, or the account is under a spouse's name, try the other adult. If they are not on your roster at all, use New Card.

Does the member get a receipt? Your gateway sends receipts according to its own settings, not this box.
