Start a drip sequence
Set up a series of emails that goes out automatically over days or weeks, triggered by something a student does.
A sequence is a set of emails on a timer. You write them once, choose what starts the timer, and every student who does that thing gets the emails in order. The classic use is a welcome series: four emails across a new student's first month so nobody joins and then hears nothing.
Steps
Open Sequences and start a new one
Click Notifications in the left menu, then the Sequences tab, then New sequence.
Existing sequences show here with a switch to pause each one. Pick a cadence to start from
Choose one of the ready-made cadences: a welcome series, a trial conversion series, a win-back series, or start from scratch. Each one comes with its emails already written. You can change every word, so this only saves you deciding how many emails and how far apart.
The small print under each card says what triggers it and how many emails it sends. Set the trigger and the stop rules
At the top of the builder, Trigger is what starts the sequence for a student: they register, a trial starts or ends, or they stop checking in. Stop sending if lists things that should end the sequence early, for example when a trial student starts a paid membership. Click a rule to switch it on or off.
Choose Nothing as the trigger if you want to start the sequence by hand for chosen students. Review each email
Under Then send, each email shows when it goes out, counted from the trigger. Click an email to open it. You can change Send after, the Channel, the Subject line and the message, and use Insert Tag to drop in the student's name or a booking link. Instead of lets this email replace one of Roll Pay's standard emails, so a student does not get both. The switch on the right leaves an email in the sequence but skips it. Use Add an email for another step.
Times are relative: Immediately, Day 3, Day 10. Change them if your cadence is different. Turn it on
Press Turn it on. From then on, every student who meets the trigger enters the sequence. Save as draft keeps your work without starting anything.
You can pause a sequence from the Sequences tab at any time. Students already part-way through stop receiving it.
What happens next
The sequence shows as Active on the Sequences tab. When a student triggers it, their emails join the queue at the right times, and each send is counted with your other notifications. Students who hit a stop rule leave the sequence and get nothing further from it.
Common questions
Does it apply to students who joined before I turned it on? No. Only students who trigger it after it is on. To include existing students, start it for them by hand from the send flow.
Can I have more than one sequence running? Yes. A student can be in several at once, for example a welcome series and a belt test run-up.
Can I see who is in a sequence? Open the sequence from the Sequences tab. Each email lists how many students have received it.
What if I edit an email while the sequence is running? Students who have not reached that email yet get the new version. Emails already sent are not changed.
