What is on a student's profile
The one page that holds a member's details, family, membership, belts, check-ins and notes.
Open anyone from the roster and you land on Student details. Everything about that person is on this one page: who they are, who they are related to, what they pay, what belt they hold, when they last trained, and anything you have written down about them. This is the page to have open when a member is standing in front of you.
Steps
The card at the top
The top card is who they are. Their photo, age and contact details on the left, and on the right two tabs: Personal information — date of birth, address, emergency contact, belt size — and Gateway information, which is their customer record in your payment gateway.
Their Pin code sits with the personal details: the four digits they tap at the check-in screen. It is hidden until you press the eye beside it; click the number to copy it, or press the send icon to text or email it to them.
Their current belt, days at that rank and lifetime check-ins sit under the details. TipThe emergency contact is the field nobody checks until the day it matters. Ask for it at grading time, when you have everyone's attention anyway.The buttons on that card
Four things you can do from here:
- Edit details opens their record for changes — name, contact details, status, membership.
- Open waiver opens the signed waivers for their family in a new tab. It only appears when there is one.
- Update student sends the member a link to fix their own details, which is quicker than reading a new phone number over the counter. For someone still a prospect it reads Activate member instead and starts them properly.
- Charge card takes a one-off payment from this student without going back to the Dashboard.

Under the card sits the family this student belongs to, titled with the responsible party's name. Each member is a card: who they are, whether they are the primary account holder, whether they are an adult or a student, their membership, and when they joined. Click any of them to jump to that person.
Billing hangs off the family, not the student, which is why a child's profile shows a parent's card.
The card you are looking at is outlined, so you always know which member of the family you are on. The five sections
Everything else is stacked down the page, with an On this page rail on the left to jump between them.
- Membership — what they are on, what it costs, when it renews. Where you add, change or end a plan, alongside their wallet, transaction history and invoices.
- Notes — anything worth remembering. An injury, a payment arrangement, a parent who prefers texts.
- Belts — their promotion history: each belt and stripe with the date it was awarded. Where you record a new one.
- Check-ins — every time they have tapped in, with the class. A check-in's time can be corrected here, or the whole entry removed if it went in twice.
- Private lessons — one-to-one sessions booked and used.
The rail follows you down the page, so you can get from a membership question to a check-in question without scrolling back. Deleting someone
Delete Student sits at the top right, away from everything else. On a parent it reads Delete Family and takes the whole family with it.
Far from every other control, and for good reason. TipSet someone to inactive instead of deleting them. Deleting loses their history; inactive keeps it, keeps them out of your counts, and lets them come back next year without starting again.
What happens next
Changes you make here show everywhere the student appears — the roster, the Dashboard's attention list, your check-in figures. A belt recorded here is the belt shown at the check-in screen the next time they tap in.
Common questions
A child's profile shows a parent's email and card. That is by design. The family holds the contact details and the card; the child holds the belt, the check-ins and the membership.
I changed a detail and the roster still shows the old one. Refresh the roster. It keeps what it fetched until you ask it again.
Can staff see this page? Yes, though what they can change depends on the role you gave them under Settings.
Nothing loads and it says the student was not found. The record has been deleted, or the address was mistyped. Go back to Students and search for them by name.
