Set up the check-in screen, and what students see when they tap in with their PIN.

Check-ins are the number everything else on your Dashboard leans on: who trained this week, who has gone quiet, which classes are filling. The check-in screen is a page you leave open on a tablet by the door. Students tap in a four-digit PIN and pick the class they are there for. Nobody signs in as you, and nothing else in Roll Pay is reachable from it.

Steps

  1. Open the check-in screen

    On the Dashboard, press Student check-ins in the bar under the header. It opens in a new browser tab. That tab's address is your academy's check-in page — bookmark it on the front-desk tablet, or set it as the browser's home page, and you never have to come back through the Dashboard.

    Open it once on the tablet and leave it. It is a page, not an app to install.

    TipPut the tablet in guided access or kiosk mode so a student cannot wander off the page. The check-in screen holds no member data until a PIN is entered.
  2. What a student does

    The screen shows your academy's logo and name, four dots, and a number pad. The student taps their four-digit PIN. Clear wipes it; Submit lights up on the fourth digit.

    A student who cannot remember their PIN has two ways out without asking you: Forgot PIN takes an email address and sends a reset link, and Search by Name finds them by name instead. Register now at the bottom opens your registration form for someone who has never signed up.

  3. Picking the class

    After a correct PIN, the screen shows the student on the left — their photo, their PIN, their contact details part-hidden, and their belt — and today's sessions on the right as cards.

    Each card carries its state: Available to tap, Full when the class has no space, Already Checked In for one they have tapped today, and Unavailable when it is not open to them. A card tagged Walk-in and Open session is the general check-in for gyms that do not want a class picked at all. Each card also shows how full it is.

    Their belt, days at rank and check-in count sit under their name, which is a useful thing for a coach to glance at.

  4. Tapping in

    The student taps the class. It outlines in red and counts down four seconds, and tapping again cancels — that window is there so a mis-tap never becomes a check-in. When the countdown finishes the check-in is recorded, a confirmation appears, and the screen returns to the number pad with the PIN cleared, ready for whoever is next.

What happens next

Every student's PIN lives on their profile. Open Students, open the student, and the PIN sits in their details behind an eye icon — press it to show, click the number to copy, and use the send button beside it to text or email it to them.

Each check-in lands immediately. It counts on your Dashboard under Checked in today and in the fortnight of mat traffic beneath it, and the full record is under Analytics › Check-ins, which is the screen built for browsing them.

A student can also update their own details from the check-in screen. Update student details on their card sends them a link by email or text. That is limited to two sends, after which it pauses for fifteen minutes, so a student jabbing the button does not text themselves twenty times.

The page reloads itself after an hour of nobody touching it, which keeps a tablet that has sat overnight from showing yesterday's classes.

A student says they cannot check in. If their account is not active, the screen tells them so politely and asks them to see the front desk. That is the expected behaviour for a cancelled or paused membership, not a fault — sort the membership and their PIN works again.

Can I fix a check-in that went in at the wrong time? Yes, from the check-in record rather than the kiosk. The time can be edited, and a check-in can be deleted outright.
