The lists behind your gym
Disciplines, membership types and durations, student statuses, payment methods and marketing sources — the small lists every other screen picks from.
Further down the Gym tab sit six small tables. They are dull on their own and they decide what every other screen offers you: what a class can be, what a membership costs, what a student's status can say. Getting them right once saves a hundred corrections later.
Use the On this page rail on the left to jump between them.
Steps
Disciplines
The arts you teach — Brazilian Jiu-Jitsu, Judo, Wrestling, Muay Thai. Each class belongs to one, which is what lets you tell a gi class from a striking class in your reporting.
A discipline can be made inactive rather than deleted. Use that when you stop running something: the history stays, the option disappears from new classes.
Muay Thai is inactive here: run once, kept on the record, no longer offered. Gym classes
Every class type, with its discipline, its length in minutes and whether it is active. This is the list Add a class writes to.
Duration is in minutes, and it is what the calendar draws. Membership types
What you sell and what it costs — Unlimited, 2x / Week, Drop-In, with a price against each. These are the options that appear when someone registers and when you put a student on a plan.
Three plans is plenty for most academies. TipKeep this list short. Every extra plan is another thing to explain at the front desk and another line in your reporting.Membership durations
How long a plan runs, in months: monthly is 1, an annual plan is 12. Durations and types combine, so three types and three durations give you nine things to sell without nine rows to maintain.
Months, not names. Six Months is 6. Student status
The words a student's record can say — active, inactive, on hold — each with a colour. Those colours are what you actually read when you scan the roster, so give a status that needs attention a colour that looks like it.
Green, red, amber. Nobody reads the word before the colour. Payment method
The ways your academy takes money, with one marked default. This is the list the Charge card box picks from.
One is the default; the rest are still selectable at the point of charging. Marketing source
How people found you: walk-in, referral, Instagram, Google. Asked at registration, and the only honest answer you will ever get to where your members come from.
Four sources, honestly recorded, beat twelve nobody picks. TipAdd a source before you start a campaign, not after. A month of sign-ups recorded as "walk-in" tells you nothing.
What happens next
Each list is a table like any other in Roll Pay: add a row, edit one, mark it inactive. Changes appear immediately wherever that list is offered.
Nothing you deactivate is deleted, and nothing already using it is changed. A student on a plan you retire keeps that plan until you move them.
Common questions
Can I delete a membership type people are on? Make it inactive instead. It stops being offered to new members, and everyone on it carries on.
I changed a price. Does it charge my existing members differently? No. The price here is what new memberships start at. Existing recurring payments keep their own figure.
Why can I not pick a discipline on a class? It is probably inactive. Reactivate it and it comes back.
What is a duration for, if the type already has a price? The type is what they get; the duration is how long they get it for. That is how an annual version of the same plan is one row, not two.
