Cancel a class for one day
Call off a single session with a reason members can see, and put it back when the coach is well again.
A coach is ill, the mats are being replaced, or it is a public holiday. You do not want to delete the class — it runs again next week — you want to call off Thursday. That is what cancelling does: it takes one session off, leaves the class alone, and tells members why.
Steps
Find the session
Open Schedule and go to the day in question. Week view is the easiest to aim at; Month works if you can pick the block out.
One block is one session on one day, which is exactly what you are cancelling. Open its options
Each class block has a ⋮ button in its top right corner. Press it on the session you are cancelling. A box opens headed Cancel Class with the class name underneath, so you can check you have the right one before going further.
The class name under the heading is your confirmation that you clicked the right block. Say why
Type a reason. Keep it short and public — Coach unavailable, Public holiday, Mats being replaced. This is not an internal note: it shows on the calendar and on your public schedule, so it is what a member reads when they wonder where their class went.
The button stays greyed out until you have written something. That is deliberate: a class that vanishes with no explanation generates more messages than the cancellation saves.
Write it for a member reading it on their phone, not for your records. Cancel it
Press Cancel Class.
One press, one date. Check itThe session stays on the calendar with its name struck through and a red Canceled badge. Hover it and your reason appears.Putting it back
Press ⋮ on the cancelled session again. The box now reads Reinstate Class. Confirm, and the session goes back to normal and the reason is cleared.
It stays on the calendar on purpose. A class that disappeared would just look like a mistake.
What happens next
Only that one date is affected. Next week's class, and every week after, runs as usual — this is not a change to the class itself.
The public schedule picks the cancellation up, so anyone looking at your website sees the class struck through with the reason. Roll Pay does not text or email your members about it, so if it is short notice, send a notification as well.
Common questions
Can I cancel a whole week? Not in one action. Cancel each session, or if the academy is shut for a fortnight, say so in a notification as well — a reader scanning a calendar full of struck-through classes may not spot the pattern.
Can I cancel a class permanently? That is not a cancellation, it is a change to the class. Edit it under Settings, or take it off the schedule.
A student turns up anyway. Can they still check in? Yes. Cancelling a session does not lock the check-in screen. If someone trains open mat instead, that check-in is real and worth keeping.
Can I change the reason after cancelling? Reinstate the session and cancel it again with the wording you want.
