Change the emails Roll Pay sends for you
Rewrite the automatic emails, like the welcome message or the payment receipt, so they sound like your academy.
Roll Pay sends a set of emails on your behalf without you doing anything: a welcome when someone registers, a receipt when a payment goes through, a warning when a card is about to expire. Each one starts as Roll Pay's wording. You can rewrite any of them once and your version is used from then on.
Steps
Open the Template Center
Click Notifications in the left menu, then the Templates tab. Make sure Notification emails is selected at the top right. The list is grouped by when each email goes out: joining your academy, billing, training, events, paperwork. Each row says what triggers it and whether it goes by email, text or both.
A Customised badge means you have already rewritten that one. The switch on the right turns an email off entirely. A padlock means it always sends. Open an email and rewrite it
Click the pencil on the row you want to change. Edit the Subject line and the Message. The editor works like a normal email: bold, lists, links and images are all available.
Write is where you edit. Preview shows the email exactly as a student will receive it. Use merge tags for the student's own details
Anything in double curly braces is filled in per student when the email goes out. The panel on the right lists every tag with an example. Use Insert Tag in the editor or type them by hand.
The unsubscribe link tag is required in every email and is added for you if you leave it out. Switch to Preview to read it as a student would, then press Save. Your wording is used for every send from that moment.
Reset to Rollpay's throws away your version and goes back to the default. You can do that at any time.
What happens next
The row shows a Customised badge, and the Template Center header counts how many emails are in your own words. Nothing already sent changes. If you later want the original back, open the email and press Reset to Rollpay's.
Common questions
Can I stop one of these emails altogether? Yes, with the switch on its row, except for the ones marked with a padlock. Those, like the payment receipt and the password reset, always send.
Can I change the text message version too? Emails marked EMAIL and SMS have both. Edit the text version on the same page.
What are "Your templates"? Those are messages you saved yourself while sending a notification, for reuse. Notification emails are the automatic ones.
Will my sequence emails use this wording? A sequence email can replace one of these with its Instead of setting, so a student does not get both. Otherwise they are separate.
