Save a message as a template and reuse it

Write the open mat reminder or the holiday timetable once, then send it again in two clicks.

Most academies send the same handful of messages over and over: the open mat reminder, the holiday timetable, the seminar announcement. A template is one of those messages saved with a name, ready to drop into a notification or a sequence. There are two ways to make one, and one place to find them all.

Steps

  1. See the templates you already have

    Click Notifications, then Templates, then Your templates at the top right. Each template shows on the left; click one to preview the email and text versions on the right.

    Notification emails, the other tab, are the automatic emails Roll Pay sends. Your templates are the ones you write.

  2. Write a new template

    Press New template. Give it a Title you will recognise in a list, write the message, and press Save. Merge tags such as {{student_first_name}} and {{gym_name}} work here exactly as they do in a notification.

    The preview on the right updates as you type.

  3. Or save a message while you send it

    When you are writing a notification, tick Save as template before you send. The notification's name becomes the template's title, so name it something you will recognise later.

    This is the quickest way to build up templates: send as normal, tick the box.

  4. Use a template in a notification

    Next time, on the Send Notification form choose Choose template instead of New message, then pick from Use one of your templates. The subject and message fill in. Edit anything you like before sending.

    Changes you make here do not alter the saved template.

What happens next

Templates are shared by everyone at your academy who can send notifications. A template can also be used as an email inside a sequence, so a message you perfected for a one-off send can become part of a welcome series.

Common questions

Can I edit a template after saving it? Yes. Open it from Your templates, make your changes and save. Notifications already sent are not affected.

Can I delete one? Open it from Your templates and use the delete option. Sequences that use it keep their own copy of the text.

Is a template email, text or both? Both. Each template has an email version and a text version, and the Send by choice on the notification decides which one goes out.
