Add, tag and find your images

Upload photos to your Library, give them titles and tags, and find them again when you need one.

Images is your academy's photo library: the mat, a class in progress, your logo, the front desk. Every photo has a title, and a description and tags if you want them, so you can find it again. When you insert a picture into an email, template, waiver or event description, this is where you pick it from.

Steps

  1. Open Images

    Press Library in the left menu, then the Images tab. The number beside the heading is how many images you have.

    Library sits just above Settings in the left menu. Its tabs are Documents, Images and Videos.

  2. Add up to three photos

    Press Add images at the top right. In the window that opens, drop photos onto the dashed area or click browse files. PNG, JPG or WEBP, up to 3 at a time, 5 MB each.

  3. Give each photo a title

    Each photo you add gets its own Title, filled in from the file name. Change it to something you would search for, like Kids class, Saturday. Description and Tags are optional: pick a tag from the list, or type a new one and press Enter. Press Save, and each photo shows how far its upload has got.

  4. Find a photo

    Type in Search by name… above the photos, or press / to jump straight to it. If your photos have tags, the tag buttons under the search narrow the page; you can pick more than one, and All tags shows everything again. The two buttons beside the search switch between a grid and a list.

  5. Change a photo's title, description or tags

    Hover over a photo and press the pencil. Edit image opens with the same Title, Description and Tags; press Save changes. The photo itself can't be swapped: to replace it, add the new one and remove the old.

    Hovering shows preview, copy link, download, edit and delete. On a phone the buttons are always there.

  6. Remove photos you no longer use

    Press the bin on a photo. To clear out several, tick two or more and press Delete in the bar that appears at the bottom. The confirmation says how many will go, and deleting can't be undone.

    The bar counts what you ticked. Its Cancel unticks them again.

Images your affiliation shares

If your academy belongs to an affiliation, the photos it shares appear here too, with Affiliation after the uploader's name. You can open them, copy their link, download them and insert them like your own. Only the affiliation can change or remove them, so they have no pencil, bin or tick box.

Shared photos can be opened, copied and downloaded, but not changed.

What happens next

A new photo is ready to use straight away. In an email, template, waiver, document or event description, the editor's Insert from Gallery button lists your images: search by title and click one to put it in. Nothing is sent to members just because you uploaded a photo.

My upload was rejected. The window says why: "Only PNG, JPG, WEBP are allowed." or "Each file must be under 5 MB." A phone photo is often too big and fine once resized.

Can I upload a whole folder? Three at a time. It is a few rounds rather than one.

Can I add a photo by pasting a link? No, photos are uploaded from your computer or phone. Videos are different: the Videos tab takes a YouTube or Vimeo link, or MP4, WEBM and MOV files up to 200 MB each.

Where did the Gallery go? In the September 26, 2026 release, Settings › Gallery became Library › Images. The old address now shows "Page not found", so update any bookmark.
